DSE workplace assessments: a practical starting point for employers

Understand the starting points for DSE workstation assessment, prepare useful information and plan follow-up actions using HSE guidance.

Know when to assess

HSE says employers must assess workstations for people who normally use DSE daily for continuous periods of an hour or more. Its guidance also identifies triggers such as a new user or workstation, changed working arrangements and reported discomfort. Check HSE’s current workstation assessment guidance.

Treat it as a workstation review

A chair purchase is not an assessment. Bring together information about the person’s work, the equipment and the setting. Useful preparation includes workstation photos, details of changes already tried and any previous actions that have not been resolved.

Give staff a way to raise individual needs without discussing personal information in an open team setting. The practical question is what needs checking and who will follow it through.

Include home and hybrid working

HSE explains that its DSE requirements can also apply to qualifying home and hybrid workers. Do not assume the office setup represents the workstation used at home. Read HSE’s home-working guidance. This article refers to Great Britain; check the relevant authority for other jurisdictions.

Make the follow-up clear

Record what needs doing, who will do it and a sensible review point. Separate straightforward adjustments from actions requiring further advice or purchasing decisions. If equipment changes, keep the reasoning with the assessment record so later decisions are easier to understand.

Prepare for a conversation with Pam

  • How many workstations need consideration, and where are they?
  • Are they shared, fixed, home-based or hybrid?
  • Has a move, new desk or new equipment prompted the review?
  • Are there existing assessments and outstanding actions?
  • Do you also need space planning or furniture advice?

Pam can discuss your DSE assessment requirements and the proposed scope. Confirm assessment fees separately from P&S Interiors’ free planning and design service.
